Introduction

At Joyfull Greens we value the trust and confidence of our visitors to our web site. We will never sell, rent or trade your personal data with other charities, companies and businesses.

About Google Analytics

At Joyfull Greens we do not collect any unnecessary data about you. When someone visits www.joyfullgreens.com we use a third party service, Google Analytics, to collect basic internet log information and details of visitor behaviour patterns e.g. what you looked at on our website. We do this to ensure we’re providing the sort of content you most want and by knowing the numbers as to how many people have visited which page – this gives us a great indication as to which of our services there’s the most demand for – so we can do more of it. This information is only processed in a way which does not identify anyone individually. We do not make, and do not allow Google to make, any attempt to find out the identities of those visiting our website.

The type data we collect

We collect and process data relating to our volunteers, potential volunteers, sponsors, donors and supporters to manage our relationships with them and to enable delivery of our aims and objectives. We are committed to being transparent about how we collect and use that data and to meeting our data protection obligations.  We might collect the following data:

“Personal Data” which is information that identifies you.  If we have removed your identity (by making the data anonymous) it will not be classed as personal data.  We might collect, use, store and share various types of personal data about you as follows:-

●      Identity and contact details such as name, address and contact details, including email address, telephone number, previous classes attended and emergency contacts but also the area person lives in, gender, disability status, employment status, email, phone number, address, medical conditions, food allergies of participants who have attended our programmes and have completed our Evaluations forms either on paper, verbally over the telephone or digitally.

●      Permission to store and use photographic images to promote the work of Joyfull Greens

●      Details of your availability/ schedule if you are in a volunteer role with us

●      Usage and Marketing information such as how you use our website, products and services and your preference on receiving marketing from us or from third-parties along with communication preferences.

“Special Category Data”: We require your specific consent to process Special Category Data (such as information about your health, physical or mental, race, sexual orientation, criminal convictions/ offences and your genetic and biometric data). When you submit your details, we will ask you to confirm your consent to this processing.

“Aggregated Data”:  We may also use the above information, without any of your identifiable details, to produce aggregated data. An example includes statistical or demographic data, that can help us understand our volunteer needs better. If we combine this data with your personal data at any point so you do become identifiable, we treat this as personal data and use this in accordance with this policy.

Joyfull Greens holds a small amount of data on supporters such as businesses, brands, restaurants and small enterprises who have either previously given, or could give support to the CIC. The data includes name, email, phone number, support given previously, website, address. It also holds a small amount of data on community halls, kitchens and other venues to hire. Venue name, contact name, email, phone number, venue address, website.

Our Mailing List

We may have a mailing list for our e-newsletters which we use to send out information about all aspects of our programme – be it classes, courses, events or special supporter discounts. We collect personal information to add people to this list which we use to tell you about the events you’ve told us you’d like to hear about, to contact you if we need to obtain additional information, to check our records are up to date and to check you’re happy with our communications. We never rent, sell or trade email lists with other organisations or businesses.Our mailing list is held and managed via a third party newsletter service provider called MailChimp. You can Unsubscribe or change your preference settings at any time by clicking the unsubscribe link at the bottom of our MAILCHIMP emails, or, if replying to an email from a member of our team you can reply UNSUBSCRIBE or OPT OUT and they will remove you from our database. 

Ticketing Data

When you purchase a ticket (or tickets) for a Joyfull Greens event you will do this through an online event promotion platform we use which is EventBrite. You can read their privacy policies here: Eventbrite Privacy Policy | Eventbrite Help Centre When you purchase a ticket on this platform you will be asked for personal information such as name, contact details, age and whether you have any food allergies, medical conditions or additional requirements we need to know about to ensure you can participate fully and safely in our programme. If provided by the platform we then use your details to send you information about the event you have booked such as a reminder message, recipes you will make in the class and any other necessary information.

We also send thank you emails after the event. We will ask you in our communications about the event you have booked onto whether you would like to receive our e-newsletters and will only add your details to this database with your consent.

Sending Anonymised Information To Funders

As a C.I.C. we are obligated to file a report to our funders and contract providers about the impact of our work. In practice this means we provide anonymised data about our attendance numbers, equal opportunities data, evaluation results and any other data requested by the funder specific to that programme such as employment status, disability status or area of residence. This data is provided anonymously, in group form e.g. data of an entire programme cohort as opposed to one participant, and there is no way of identifying you from the information we share with these organisations.

Our website may contain links to other websites of interest. However, you should note that we do not have any control over other websites. Therefore, we cannot be responsible for the protection and privacy of any information which you provide whilst visiting such sites and such sites are not governed by this privacy statement. You should exercise caution and look at the privacy statement applicable to the website in question.

The security of Your Personal Data is important to us, but remember that no method of transmission over the Internet, or method of electronic storage is 100% secure. While We strive to use commercially acceptable means to protect Your Personal Data, We cannot guarantee its absolute security.

How We Store Your Personal Information

Your data is stored securely in our admin files and in our email system.  We have strong security measures in place to keep your information safe.  Only authorised individuals who have a need to know are granted access to your data.  They will process your data in accordance with our confidentiality terms. All information you provide to us is stored on our secure servers or in cloud-based storage. Any payment transactions will be encrypted. In the rare circumstances that there is a data breach, we will notify you, along with any applicable regulator, when we are legally required to.

Children’s privacy

Our Service does not address anyone under the age of 13. We do not knowingly collect personally identifiable information from anyone under the age of 13. If You are a parent or guardian and You are aware that Your child has provided Us with Personal Data, please contact Us. If We become aware that We have collected Personal Data from anyone under the age of 13 without verification of parental consent, We take steps to remove that information from Our servers.

If We need to rely on consent as a legal basis for processing Your information and Your country requires consent from a parent, We may require Your parent’s consent before We collect and use that information.
